Team Managers Guide

Welcome Team Managers!!! Thank you for stepping up and taking on this role. We appreciate you taking the extra time to help keep your team organized. We have compiled a list of frequently asked questions/helpful documents to get you started.

Q: What do I need to do to start the season?

A: Team Managers are responsible for the following things at the beginning of the season:

  • Creating a Team Budget if required and ensuring that every family has a copy of it (whether that is printed or emailed).
  • Ensuring that the team roster and coaches are correctly added to GameSheet (to be done by the head coach and/or manager). You will need to ask your head coach for the access key to be able to add to the roster. The access key may only be used by coaches and team managers, and it is not to be shared with any other members.
  • Create a document for your team roster that lists each player, their corresponding jersey number, and up to date contact information. A copy of this document must be emailed to raiderslacrosse@outlook.com.
  • Arranging for Name Bars to be put onto jerseys IF your team decides they want them.
  • Ensuring that a Parent meeting is held within the first two weeks of the team being selected and ensuring that the Risk Management Director is able to attend by contacting them at raiderslacrosseriskmanagement@outlookcom. Parent meetings will be the time for coaches to go over their expectations, team manager to go over the budget, and risk management to go over the associations policies.
  • Ensuring that ALL players and coaches have valid playing cards that are approved by the OLA. The PRMLA will provide each team with a binder where these cards are to be kept. The PRMLA Registrar will provide the Team Manager with a copy of the player/coach cards via email. The Team Manager must print the cards and put them into the team binder. The Team Manager is responsible for keeping this binder and bringing it to ALL Tournaments/Provincials. Any issues with player/coach cards are to be discussed with the PRMLA Registrar at raiderslacrosseregistrar@hotmail.com.
  • Ensuring that all parent's/guardians have filled out a Medical Information Form in case an injury or medical emergency occurs during PRMLA sanctioned activities.

Q:  How do I create a team budget?

A: Working with your head coach/coaching staff, determine which of the following extra expenses your team would like to add to their season/budget. Please note that any extra expenses are decided upon by each individual team and are NOT mandatory by the Association. Some additional expenses may include the following:

  • Tournament Registration Fees if your team wishes to attend more than one tournament for the season (PRMLA will pay for one tournament registration plus Provincials, per team). Registration fees range from $750 to $1000 per tournament. The PRMLA will cover the initial cost of all tournaments, and any additional tournament fees must be paid back to PRMLA by June 30th.
  • Helmet Stickers Front Row sells helmet sticker bundles for $14.99 + tax.
  • Name Bars can be done at Front Row for $10 per bar sewn on - $20 per player set. If members of your team have bars from a previous year it is $5 each to sew them back on. Team Managers are responsible for drop off and pick up of name bars. Team Managers are also responsible for ensuring all name bars are off the jerseys prior to bringing them back to PRMLA at the end of the season.
  • Team Messaging Platform TeamSnap is approx. $20 per month for the membership that enables you to add the appropriate number of players. You can also use free apps like Game Changer or WhatsApp.
  • End of Year Party - a standard amount would be to budget approximately $300 for this expense.
  • Non-Parent Coach Expenses - Teams with non-parent coaches will cover extra expenses related to the team such as hotel fees, per diems, mileage etc... (for information on this please contact the PRMLA Treasurer).

Q: Are we allowed to create our own social media accounts for our individual teams?

A: Yes. Individual teams may create and run their own social media accounts. At the team meeting, parents should be informed about the intention to have a social media team account, and parents should be given a Social Media Consent form to sign. Individual team accounts must be clearly identified as such, as they are not an official PRMLA account. Log in information must be provided to the Risk Management Director.

If you are using the above form, please personalize the information on this sample form to fit your team.

Q: What is the Team Manager responsible for throughout the season?

A: The Team Manager is responsible for the following things throughout the course of the season:

  • At the direction of the head coach, the team manager will be responsible for arranging exhibition games/interzone games. A team and date must be identified, and the request must be made through the PRMLA scheduler at raiderslacrosse.scheduler@outlook.com.
  • Any extracurricular/team building activities.
  • Being a point of contact for any coach/player/parent issues/concerns that arise. Liaising between the team and the Risk Management Director if required.
  • Ensuring that team fees are collected and additional budgetary items are paid for.
  • Any additional tournaments that are to be paid for MUST be paid for by June 30th.
  • Keeping possession of the team binder containing the valid Player/Coaches cards. Per the OLA, each team is required to provide these cards at the registration desk of each tournament/Provincials prior to game play. It is not acceptable to present cards via an email or online; they must be presented with a physical paper copy.
  • Keeping a copy of each players Medical Information Form, filled out by their parent/guardian. It is easiest to keep these forms within the team binder provided by the PRMLA.
  • Liaising with the Team Trainer to ensure that injuries that occur during PRMLA sanctioned activities are properly documented and that the Emergency Action Plan is in place and roles are identified. Injuries that occur as a part of extracurricular/team building activities are not part of this process.

Q: What is the Team Manager required to do if an injury occurs during PRMLA sanctioned activities?

A: The Team Trainer must ensure that an emergency action plan has been created and that people within the team have been identified for the following roles: Emergency Leader, Responder, Communicator, Runner, and Crowd Manager. The Team Manager must ensure that these roles are identified/documented and assist with the co-ordination of the action plan if/when necessary. The Team Manager must also ensure that the Team Trainer has filled out the OLA Participant Serious Injury Report (PSIR) and emailed it to the Risk Management Director.
